Terms & Conditions
- Prices quoted are in GB Pounds Sterling and include insurance and chauffeur. Fuel is charged at the rate per mile stated calculated on the complete return journey from our Dinnington South Yorkshire base. Prices do not include VAT which will be charged at 17.5%. Optional extras such as champagne, wedding decorations and picnic hampers are charged at the prices shown on our price list.
- Prices include a hire charge by the hour dependent on the type of vehicle and a mileage rate based on an estimated mileage for the hire period. Any mileage over and above the original quotation will be charged after the event. For a full quotation please contact our booking office.
- No smoking is allowed in any of our cars.
- An Executive Affair makes every effort to supply the vehicle originally requested by the customer, however, in certain circumstances the chosen vehicle may not be available. In these cases we will endeavour to supply a similar alternative vehicle. Where a substitution is made we will endeavour to provide the best alternative available. If no acceptable alternative can be found, a full refund including the booking fee will be given. If a vehicle in a different price band is substituted then a refund of the difference will be given.
- All cars are cleaned on the day of hire, but An Executive Affair does not accept any responsibility for changes in a vehicle's appearance caused by the weather or terrain during the hire period.
- An Executive Affair reserves the right to refuse to carry passengers who are under the influence of alcohol, drugs or illegal substances, or abusive to our staff. If a passenger is refused carriage no refund and no compensation will be given.
- The customer is responsible for any damage they cause to the interior or exterior of the vehicle. Passengers who cause damage to the vehicles or soil the vehicles will be charged for the full cost of reinstating the vehicle to its original appearance, valeting, repair or reinstatement charges will be levied to the customer within 7 days of the hire period. If the damage caused results in the vehicle becoming unavailable for pre booked hire by other customers a charge of £35 per hour will be made.
- An Executive Affair does not accept liability for missed flights/events, loss or damage to passengers possessions, or consequential losses due to circumstances beyond our control such as adverse weather conditions, theft, delays caused by traffic accidents, congestion, terrorist attacks or acts of God.
- Under no circumstances will animals be allowed in our vehicles.
- The consumption of alcohol and food is forbidden in all vehicles unless provided as part of our pre booked champagne or hamper package. Where champagne or picnic items are booked passengers are requested to ensure that the vehicle is not damaged during the consumption of food or alcohol. We do not allow customers to consume their own alcohol or food whilst travelling in the vehicle.
- We do not provide child seats for our vehicles. If a child seat is required for your journey this must be notified in advance and sufficient time allowed for the correct fitting of the seat by a responsible adult.
- Jobs are quoted at a fixed price, however, if extra time is incurred due to delays or diversions we reserve the right to charge for extra expenses incurred e.g. fuel and waiting time, should this occur. Waiting time is charged at £15 per hour plus VAT.
- An Executive Affair is insured for passenger travel and public liability only, our insurance does not cover customers to drive our vehicles, or for loss or damage to customers' possessions, or for any other consequential losses, delays or missed events.
- Any costs incurred during the hire period including parking costs and toll costs will be charged at cost. If parking tickets are issued as the result of an instruction given by the customer then the full cost of the charges incurred will be passed on to the customer.
- Gratuities are at the customers' discretion.
Payment Methods
- Bookings may be made by telephone (credit card or debit card required) or by post with a cheque (we will ensure the deposit cheque has cleared before confirming a booking).
- When payment is made by credit card an extra charge of 2% is added.
- Cheques should be made payable to An Executive Affair Ltd.
- The booking fee is payable within 7 days of placing the booking.
- The balance is payable no less than 2 weeks ( 4 weeks for wedding hire) before the hire date.
- For bookings less than two weeks before the hire date payment in full, by credit card or debit card is required. (a 2% extra charge is made for credit card payment)
- Where the mileage exceeds that originally quoted for, An Executive Affair will charge the extra mileage incurred at published rates.
- Where extra time is incurred due to delays or diversions we reserve the right to charge for the extra time incurred at the rate of £15 plus VAT per hour.
Booking Fee
- A non refundable booking fee of £50 is charged at the time of booking.
- Payment in full is required no less than 2 weeks (4 weeks for wedding hire) before the hire date.
- If full payment is not received 14 days before the event, the booking will be cancelled and An Executive Affair Ltd will retain the £50 booking fee.
Cancellations & Refunds - Hourly & Daily Hire and Airport Transfers
- The £50 booking fee is not refundable
- More than 2 weeks notice -full refund of hire charge
- 7 - 14 days notice 75% -refund of hire charge
- 2 - 6 days notice 25%- refund of hire charge
- Less than 2 days - no refund
Cancellations & Refunds - Wedding Bookings
- The £50 booking fee is not refundable
- More than 4 weeks notice -full refund of hire charge
- 3 - 4 weeks notice 75% -refund of hire charge
- 2 - 3 weeks notice 25%- refund of hire charge
- Less than 2 weeks - no refund
All cancellations must be received in writing. We cannot accept cancellations by telephone or by email.
The Company means An Executive Affair Ltd, The Customer means the person or organisation by or on behalf of whom the vehicle is hired under these terms and conditions.
